DONATION Software First Year Pricing

There is no charge to download or evaluate DONATION. To continue using a full version of the program after the 60-day evaluation period, the initial prices listed in the table above (under "Initial Purchase") apply in the first year, plus tax for Canadian users.

You can also choose the completely free Lite Version with more limited features, suitable for smaller charities and churches.

Paying these prices entitles you to:

  • A license key to the software, which converts it from the evaluation version to the full version
  • Technical support by email and upgrades for the first year (12 months from your payment date)

Once you have paid your initial purchase fee for DONATION and received an email receipt for it, you can request a license key to convert your 60-day evaluation version to the full unrestricted version, through the program's Evaluation and Licensing window. Any data you have entered up to that point will be unaffected by this process. (The Free Lite version does not need license keys, and is not an evaluation version.)


Good to Know

  • Full versions of the program can handle donations for multiple organizations with the same copy of DONATION, at no additional charge.
  • You can install the Standard or Lite version of DONATION on multiple computers for one price, as long as you have only the one database, which you copy back and forth between computers. (Only one user can change the data at a time, however, because there is no way to merge changes.) See the Help topic Multiple User Options for details on ways to do this.
  • You can install the Local Network version on any number of computers on your local area network in your office, and use it on up to five of those computers simultaneously.
  • You can install the OnDemand client on any number of computers anywhere, and use it on up to five of those computers simultaneously.
  • Users of the Standard version with over 5 databases for 5 organizations (or parts of the same organization) are charged the Local Network version prices, though they may choose to only install the Standard version, because of the additional administrative cost to us of giving them license keys for each database.

Multiple Users with Multiple Databases

The Standard, Local Network and OnDemand versions of DONATION allow you to have multiple databases for multiple organizations, through the Database ⇒ Switch Databases menu option, at no extra charge (up to 5 for the Standard version at no extra charge). If you have multiple people using the program (which we call "users"), all of whom regularly use the multiple databases, that is fine.

However, if there really is just one main person using each database, who is different from the main person using each other database, and other users never (or only rarely) access that database, that is not the intention of our allowing this to be done at no extra charge. In that case, we would expect that the main user for each organization / database would register and pay for the program separately.

For instance, if one user uses DONATION for two organizations, but occasionally another user needs to look at both of those databases, or take over while the first user is away on vacation, that's fine.

But suppose you have one primary user using DONATION for one organization, and a different primary user using DONATION for another organization, with perhaps occasional switching places while one or the other is on vacation. If they have only one registration and payment, and they are using multiple databases through Database ⇒ Switch Databases and using one of the multiple user options, that would not be considered to be a reasonable application of our pricing structure. They should register and pay separately.


DONATION Software Annual Renewal Pricing

To continue receiving email support and upgrades to the paid full DONATION versions after the first year, an annual renewal payment is required. *
For the OnDemand Version, annual renewal payments are required to keep using the program.

The Annual Renewal prices are listed in the table above, under "Annual Renewals".

Pay for your Annual Renewal by using a credit card via PayPal.

The Free Lite Version doesn't require renewals, but if email support is needed after the first month, it will cost $20 per year. Pay for a year of email support for DONATION Lite by using a credit card via PayPal.

Once you have paid your Annual Renewal fee for the full version and received an email receipt for it, you need to request an updated license key, through the program's Evaluation and Licensing window. This informs the program that it can accept upgrades for another 12 months.

We will contact you annually to invite you to renew your email support and upgrades subscription.

* If you do not pay this renewal fee by the end of the sixth month after your email support and upgrades eligibility expires, you will need to pay another initial purchase fee (twice as much) if you wish to renew your eligibility for email support and upgrades.

If you do not choose to renew your support for the program, you can continue using any version except for the OnDemand Version after your email support and upgrades expiry date, but you will not be eligible for email support or upgrades. However, if you ever need to re-install the program on your computer, or install it on a different computer, the only way that can usually be done is by downloading the currently available version from the program's website. Since that would be an upgrade at that time, an appropriate payment would be required. If you wish to avoid that, your only option is to download a current copy of the installation program from the website before your email support and upgrades expiry date, and make sure you have a secure permanent copy of it. We do not retain older versions of the program, and they will never be made available for download.


Upgrading from Lite to Standard DONATION Software

If you start with the free feature-limited Lite version and decide to upgrade to the full-featured Standard version, you can always do so, as follows:

  • Install Standard, either with the Tools ⇒ Check for Updates menu option (being sure to check the checkbox at the bottom of the window that comes up, for this upgrade), or by downloading and installing it directly from the DOWNLOAD page.
  • Pay for your license. This will be the normal Initial Purchase fee of $100, unless you have paid a Lite Support fee of $20 within the previous 6 months, in which case you can deduct that from the Initial Purchase fee and pay only $80.

Upgrading from Standard to 5 simultaneous users Local Network or OnDemand DONATION Software

You can always upgrade from the Standard version to the 5 simultaneous users Local Network or OnDemand version, by first paying as follows:

  • If you have not yet purchased the program, or your support expired more than six months ago, just pay the usual Initial Purchase fee for your desired version, $180. That entitles you to a year of email support and upgrades.
  • If you have previously purchased the Standard version, but your support expired in the last 6 months, pay $40 plus the $90 Annual Renewal fee for the appropriate version - total $130. That entitles you to another year of email support and upgrades.
  • If you have previously purchased the Standard version, and you are in the middle of a paid support period for that version (either an Initial Purchase or an Annual Renewal), pay $40 plus $3 per remaining full month in that support period. At the end of that support period, if you wish to continue your eligibility for email support and upgrades, pay the $90 Annual Renewal fee.

Then you install the desired version as you normally would, usually starting by installing the Local Network Server version or OnDemand Client on top of your existing Standard version.

Upgrading your 1 Simultaneous User Remote Database Version to 5 Simultaneous Users (Local Network or OnDemand)

Effective January 1, 2020, the pricing for only 1 simultaneous user in the Remote Database Version was eliminated, because we believe that for most users who chose that, the Standard version with the Cloud Storage Service will be a better choice. It has most of the same advantages, enabling safely sharing a database over the Internet, and is much faster. See here for details on switching.

Effective August 1, 2021, the Remote Database Version was entirely discontinued.

For users who still want multiple simultaneous users, or the ability to install on Macs as well as Windows, the much faster OnDemand version is another better choice.

For those who want to switch to the OnDemand or Local Network Version, the following pricing applies for upgrading to those 5 simultaneous user versions:

  • If you have not yet purchased the program, or your previous payment for the program was more than six months after your support expiry, just pay the usual Initial Purchase fee for the OnDemand or Local Network Version, $180. That entitles you to a year of usage, email support and upgrades.
  • If you have previously purchased the 1 simultaneous user Remote Database version, but your support expired in the last 6 months, just pay the $90 OnDemand or Local Network version Annual Renewal fee. That entitles you to another year of usage, email support and upgrades.
  • If you have previously purchased the 1 simultaneous user Remote Database version, and you are in the middle of a paid support period for that version (either an Initial Purchase or an Annual Renewal), the easiest thing is to just wait until you receive a notice that your support is expiring, and pay the renewal fee as indicated in the previous point. If for some reason you need to immediately upgrade to be allowed up to 5 simultaneous users, pay $3 per remaining full month in that support period. At the end of that support period, to continue your eligibility for usage, email support and upgrades, pay the $90 OnDemand or Local Network version Annual Renewal fee.

No upgrade or other action is needed on your part after this to make the change to 5 simultaneous users. As soon as we receive and acknowledge your payment, you will be able to have up to 5 users log in to the remote database simultaneously.
