We at Software4Nonprofits (a service of S4NP Corporation, a Delaware corporation, and the owner of DONATION Online™, DONATION Standard, ACCOUNTS Standard, and www.Software4Nonprofits.com) respect your privacy. This Privacy Policy discloses our information practices for the Software4Nonprofits website and all related products and services (collectively, the “Services”).
Payment processing is provided by Forward, a service of DBD Ventures LLC (“Forward”), a Tier 1 PCI DSS-compliant payment facilitator. Forward’s payment flows are white-labeled within DONATION Online. When you submit payment information through the Services, that information is processed by Forward subject to Forward’s own privacy and security practices in addition to this Privacy Policy.
We are the owner of the information we collect directly through the Services. We do not sell your personal information. We will not share, sell, or rent that information in any way other than as disclosed in this policy, except in connection with a transfer of the entire business or as required by law or court order. Information submitted to an Account Holder through its campaigns, forms, or website is Account Holder Data and is addressed below.
We collect personal information you voluntarily provide when you register for our Services, make a donation or purchase, process a transaction, contact us, or respond to surveys. This may include your name, address, email address, phone number, and payment information. Credit card data submitted through the Services is processed and tokenized by Forward and is never stored on our servers in unencrypted form.
We also collect non-personally identifiable information such as IP addresses, browser type, and usage data to analyze trends, administer our sites, and gather broad demographic information. We do not link IP addresses to personally identifiable information.
When organizations (“Account Holders”) use the Services, their supporters and end users may submit data through campaigns, forms, websites, and other features. This data (“Account Holder Data”) remains the property of the Account Holder. We process Account Holder Data on behalf of Account Holders as a processor or service provider. When you interact with a campaign or with an Account Holder’s website, whether by donating, registering, volunteering, or submitting a form, your personal data is provided to that Account Holder. Account Holders are not bound by this Privacy Policy; please review their privacy practices before submitting information.
Where an Account Holder’s plan includes website services, we build and host the website on a third-party website platform that we license and operate under our own brand. That platform provider processes website content and visitor information as a service provider to us and hosts the site on servers located in the United States.
Websites may include contact and donation forms, visitor analytics, and cookies. Information collected through an Account Holder’s website is Account Holder Data. The Account Holder is responsible for the personal information collected through its website, for the privacy notice displayed on it, and for obtaining any consent required by applicable law, including consent to cookies where required. We do not use website visitor information for our own marketing.
The Services are not directed to children under the age of 18. We do not knowingly collect personal information from children under 18. If we learn that we have collected personal information from a child under 18, we will take steps to delete it promptly. If you believe a child under 18 has provided us personal information, please contact us at info@software4nonprofits.com.
When you register, we send you a welcoming email. You may occasionally receive information and update announcements by email. We will send service-related notices that cannot be unsubscribed from while your account is active. For desktop product users (ACCOUNTS and DONATION Standard), we will email payment reminders for annual fees. You may opt out of marketing communications at any time by clicking “unsubscribe” or emailing us at info@software4nonprofits.com.
We share transaction-related data with Forward to process payments, prevent fraud, and comply with financial regulations. We also engage other service providers, including our website platform provider and providers of hosting, analytics, email delivery, and fraud prevention, who may receive personal information in order to perform those functions on our behalf. Service providers are permitted to use personal information only to provide services to us. A current list of our service providers is available on request at info@software4nonprofits.com.
We may disclose personal information if required by law, subpoena, court order, or government request, or in a good faith belief that disclosure is necessary to protect rights, safety, or property.
If any information related to you or your organization changes, or if you no longer wish to use our Services, we offer to correct, update, or remove any personal or organizational data that you have provided to us. This can be done by emailing us at info@software4nonprofits.com. You may also request deletion of your personal data; upon verification, we will delete it except where retention is required to detect fraud, comply with legal obligations, or for other lawful internal purposes. Where we hold personal information on behalf of an Account Holder, requests should be directed to that Account Holder.
We retain personal information for as long as your account is active or as needed to provide the Services. After account closure, we retain personal data for a reasonable period to comply with legal obligations, resolve disputes, enforce our agreements, and meet regulatory requirements. Charge Data (persistent transaction logs) is retained as required by law and financial regulations. Non-personal and aggregated data may be retained indefinitely.
We use commercially reasonable efforts to secure your information, including encryption, firewalls, and access controls. All payment data is processed and stored by Forward under Tier 1 PCI DSS compliance standards. Sensitive information such as credit card numbers is transmitted via SSL technology. Only employees who need information to perform a specific job are granted access to personally identifiable information. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
When you choose to use your Gmail account to email reports or database backups through the product, authentication follows the OAuth 2.0 standard. You grant our products permission to send emails on your behalf; our products use this permission only when you invoke menu options that send emails.
We use cookies on our own website to store visitor preferences and to optimize the user experience by customizing content based on browser type and other information. Websites we build and host for Account Holders may also use cookies and analytics, as described above. You can control cookies through your browser settings, though disabling them may affect site functionality.
Our data processing facilities are located in the United States. By using the Services, you consent to the transfer of your information to the United States. We comply with the EU-U.S. Data Privacy Framework, the UK Extension to the EU-U.S. DPF, and the Swiss-U.S. Data Privacy Framework. If you are a resident of the EU, UK, or Switzerland and have a complaint about our data handling, please contact us at info@software4nonprofits.com. Unresolved complaints may be referred to JAMS at no cost to you.
Under the California Consumer Privacy Act, California residents may request access to, correction of, or deletion of their personal information, and may request the categories of personal information we collect, use, and disclose. We do not sell personal information or share it for cross-context behavioral advertising. Under California Civil Code Sections 1798.83 to 1798.84, California residents may also request disclosure of personal data shared with third parties for direct marketing purposes. We serve organizations and donors in Canada. Personal information collected through the Services is processed and stored in the United States, and by using the Services you consent to that transfer. Canadian residents may request access to, or correction of, their personal information by contacting us at info@software4nonprofits.com. Residents of Quebec may have additional rights, including rights of portability and de-indexing, under applicable Quebec law.
We may update this Privacy Policy from time to time. Changes will be posted on our website with a revised date. For material changes, we will give Account Holders at least thirty (30) days’ notice by email to the address on file or by notice within the Services, consistent with the Changes to These Terms section above. Your continued use of the Services after the changes take effect constitutes acceptance.
